Studio Policies

Please read the following carefully. By enrolling at MZSOD, families agree to these policies.

1. Enrolment

How to Enrol

• Enrolment is completed via our online registration form, available through our website.

• Enrolment is confirmed once your registration form has been received. You’ll receive a

confirmation of registration email — no payment is required to secure your place.

• Once enrolled, your place in class rolls over automatically each term — there is no

need to re-enrol each term. At the start of each new year, re-enrolment is required. We

advertise new year enrolments via our social media channels, so make sure you’re

following us to stay in the loop!

2. Fees & Payments

Payment Methods

• We accept cash and card for weekly payments. Term payments can be made by cash,

card, or bank transfer.

• When paying by bank transfer for term payments, please send your payment receipt to

the office so we can mark your account as up to date. Please note that we do not store

card details — no payment information is held on file.

• Active and Creative Kids Vouchers are accepted and apply to term payments (dancer

packages) only.

Weekly Payments

• Weekly fees are to be paid at the beginning of each class, directly to a MZSOD staff

member and prior to entering the dance space.

• Students with outstanding weekly fees will need to sit out until payment has been

made. We appreciate your understanding on this — it keeps our records

straightforward for everyone.

Term Payments

• Term payments apply to group classes and private lessons. Private lesson students

must use the term payment option — casual or weekly payment is not available for

private lessons.

• Invoices are issued at the beginning of each term with a due date clearly noted.

• Paying by the due date ensures you receive the full-term discount — we’d encourage

paying early where possible!

• If payment hasn’t been received by the due date, we’ll send a reminder via text or

email. A $20 late fee will apply to any overdue accounts.

• If a student withdraws mid-term, the term discount will be forfeited.

• If fees remain outstanding the following week, we’ll need to pause class attendance

until the account is up to date.

• A $20 administration fee applies to any changes that require your term payment

invoice to be amended, such as class removals or payment method changes. Please

contact the office to arrange this.

Missed Classes

• Make-up lessons are available to students on a term payment basis during Terms 1

and 3 only. Make-up lessons are not available during Terms 2 and 4, as these terms

are dedicated to showcase preparation.

• Credits will not be issued for missed classes, except in cases of severe injury,

extended illness, or extended holiday where MZSOD has been notified in advance.

Cancelled Classes

• In the event a class is cancelled due to extreme weather conditions or other

circumstances outside of MZSOD’s control (including staff illness or emergencies), no

refunds or credits will be issued.

• We will always communicate cancellations as early as possible.

Price Increases

• MZSOD reserves the right to adjust pricing. We will always give families reasonable

notice before any increase takes effect.

Performance Costs

• Performance and rehearsal fees are to be paid at the studio via cash or card. You’ll be

given plenty of notice ahead of any amounts due.

3. Student Safety

First Aid

• All MZSOD teaching staff hold a current First Aid Certificate.

• MZSOD reserves the right to administer first aid when necessary to students in our

care.

• If you do not consent to first aid being administered without a parent or carer present,

please advise us at the time of registration.

MZSOD takes no responsibility for injuries or accidents that occur in and around the studio premises outside of class time — including waiting areas, car parks, and common areas. We kindly ask that all children are supervised by a parent or carer while on the premises before and after classes.

Working With Children Checks

• All MZSOD staff aged 18 and over hold a current Working With Children Check

(WWCC).

Drop-Off & Pick-Up

• Students aged 12 and under must be walked to and from class by a parent or carer.

• Students in this age group will not be released from class unless a parent or carer is

visible to teaching staff.

• Students enrolled in teen classes (13+) will be released independently at the end of

class. If you would prefer you student waits for a parent/carer before being released,

please email the office at office@misszoesschoolofdance.com.

• MZSOD is not responsible for students’ safety before or after their scheduled class

times.

Class Rolls

• All students — including those on term payments — must check in with a MZSOD staff

member before entering any dance space. This is required every visit, without

exception.

• Students must be marked on the class roll before their class begins. This is a

requirement for both safety and insurance purposes.

Emergency Contacts & Medical Information

• Emergency contact details are required for all students aged 18 and over and must be

provided at the time of registration.

• Emergency contact details must be kept up to date. Please notify the office of any

changes as soon as possible.

• Medical information, including any conditions, allergies, or injuries relevant to your

participation, is to be completed on the registration form at the time of enrolment. This

information is held securely and used only in the context of student care at MZSOD.

Illness

• Students showing symptoms of illness — including fever, cough, sore throat, or other

signs of a cold or flu — must not attend class.

• Students should be symptom-free for a minimum of 24 hours (without the use of fever-

reducing or symptom-masking medication) before returning to class.

• We appreciate your cooperation in keeping our studio community healthy.

Bathroom Breaks

• Staff record any bathroom breaks taken during class time.

• If a student requires assistance from a staff member while using the bathroom, this will

also be noted, and parents or carers will be informed verbally when collecting their

child after class.

No Smoking

• Smoking is not permitted anywhere on the premises.

Car Park & Driveway

• The car park (at Wollongong Studio) and driveway are reserved for staff and those displaying a valid Mobility Parking Scheme (MPS) permit only.

• Street parking is available nearby — please plan for a short walk.

4. In the Studio

Parents & Carers in Class

• For Monkey ’n’ Me and Baby Monkey classes, one parent or carer is welcome to

remain in the studio throughout.

• For other Monkey Movers classes, a parent or carer is welcome to stay for the first

5–10 minutes of a student’s first class. We encourage independence from the start

where possible — students generally settle quickly on their own, and we do hold a

Viewing Week at the end of Term 1 for all families.

Clothing & Footwear

• Clothing should be comfortable and easy to move in.

• For Ballet classes, please avoid loose-fitting pants.

• For Tumbling and Acrobatics classes, please ensure students wear bike pants under

any dresses or skirts.

• Shoes must be worn at all times during Hip Hop classes.

• Hair should be kept neatly off the face where possible.

Food, Drink & Gum

• No food is permitted in the studio.

• Water bottles are welcome — and encouraged! Staying hydrated is important.

• Chewing gum is not permitted in the studio.

Mirrors

• Students are not permitted to touch the studio mirrors under any circumstances.

Bullying

• Bullying of any kind is not tolerated at MZSOD.

• If you or your child experiences or witnesses bullying, please speak with the class

teacher or Miss Zoe directly. All concerns will be taken seriously.

Injuries During Class

• Students must inform their class teacher of any injuries or health concerns that may

affect their participation before class begins.

Lost or Stolen Property

• MZSOD takes no responsibility for lost or stolen property on the premises. Please

encourage students to bring only what they need to class.

5. Performances & Rehearsals

Attendance Requirement

• Students wishing to participate in performances must attend a minimum of 70% of

classes in the relevant term.

• If this threshold cannot be met but a student still wishes to perform, a private catch-up

lesson may be arranged. Please contact the office to discuss.

Performance Schedule

• Most classes perform in a mid-year performance (typically July) and an end-of-year

performance (typically December).

• Dates are communicated well in advance — please add them to your calendar early in

the year.

• If a student is unable to participate in a performance, please let their class teacher

know as soon as possible. Students may continue attending classes even if they are

not performing.

Commitment to Performances

• Once a student has committed to a performance, we ask that this commitment is

honoured. Withdrawing after this point may result in a financial penalty.

Costumes

• MZSOD aims to keep costume costs manageable. Rather than purchasing costumes,

students hire them for the duration of the performance season and return them

afterward.

• Students will need to provide their own basics such as dance shoes, tights, leggings,

or leotards. Exact requirements will be communicated well ahead of each performance.

6. Photos & Media

• Photos and videos may be taken during classes and at performances throughout the

year for studio use, including on our website and social media.

• Your photo and media consent preference is collected as part of the registration form.

If you wish to change your preference at any time during the year, please submit your

updated preference in writing to the office at office@misszoesschoolofdance.com.

• Consent can be updated at any time — just contact the office.

7. Privacy & Data Collection

At MZSOD, we are committed to handling your personal information with care and respect.

What We Collect

• Student and family contact details (name, phone number, email address)

• Emergency contact information

• Relevant medical information or conditions disclosed at enrolment

• Bank transfer payment receipts for term payments

• Attendance records

• Photos and videos taken in class or at performances (subject to your consent

preferences)

How We Use It

• To communicate with families about classes, fees, schedules, and studio news

• To ensure the safety and wellbeing of students in our care

• To maintain accurate attendance and enrolment records

• To promote MZSOD through our website and social media (photos/videos only, subject

to consent)

Please Note

• MZSOD does not store card details. Payments are made in person (cash or card) or

via bank transfer. No payment information is held on file.

How We Store It

• Your information is stored securely and is accessible only to authorised MZSOD staff.

• We do not share your personal information with third parties, except where required by

law.

Your Rights

• You have the right to request access to the information we hold about you, and to

request corrections where needed.

• To make a request or ask any questions about how we handle your data, please

8. Withdrawals

• If you need to withdraw from classes, please complete our online opt-out form:

• Withdrawal mid-term does not automatically entitle families to a refund of term fees

already paid. Please also note that withdrawing mid-term will forfeit any term discount

that was applied.

• If a student withdraws after committing to a performance, a financial penalty may apply

(see Section 5 — Performances & Rehearsals).
